MeltingSpot offers an email editing function to personalize all communication emails and notifications sent from the platform to your members. Only Spot admins can edit the different email templates.

List of email templates

From any Spot page, click on the "Manage my Spot" button.

You will find the emails in the Settings > Notifications menu.

Here are all the communications you can send from the platform:

  • "Invitation to the Spot": sent to a user when you invite them to join your Spot.

  • "Has been accepted as a member": sent to a user when you accept their application to join your Spot.

  • "Was denied as a member": sent to a user when you deny their request to join your Spot.

  • "Invitation to a live as a speaker": sent to a member when he is invited to join a live as a speaker.

  • "Invitation to a live as a speaker (non-member)": sent to a non-member user when he is invited to join a live as a speaker.

  • "Invitation to a live session as a participant": sent to a member when invited to join a live session;

  • "Invitation to a live as a participant (non-member)": sent to a non-member user when invited to join a live.


Editing email templates

Click on the notification to be edited, then on the "Edit" button.

Enter the necessary information consecutively:

  • The "Sent by" field is mandatory and must be no longer than 50 characters. This is the name that will be displayed as the sender of the sent email.

  • The "Subject" field is mandatory and must have a maximum length of 100 characters. This is the title of the email sent.

  • The "Header" field is mandatory and must have a maximum length of 100 characters. It is a complement to the title of the mail sent, and helps you get an overview of the content of the mail.

  • The "First part" and "Second part" fields are mandatory and must have a maximum length of 2000 characters each. This is the textual content accompanying the invitation link sent in the email.

  • The variables (button "🔗") helps you insert in the text dynamic information such as the name of the guest, the name of the Spot, the title of a live...

  • The "Button" option to activate/deactivate the display of the clickable link in the mail.

The purpose of the clickable link is to redirect the user directly to the page corresponding to the subject of the email. Deactivating it may block the guest in his registration process.

  • The "Button" field is mandatory when the "Button" option is activated, and must have a maximum length of 50 characters. This is the text that will be displayed on the redirection button in the email sent.

  • The "Banner" option allows you to activate/desactivate the display of a banner positioned at the beginning of the email.

    • By default, the banner displayed is the "MeltingSpot" banner.

    • To add a custom banner, just click on "Choose an image". The file must be in .png, .jpg or .gif format and have a maximum size of 1Mb. It is recommended to upload a landscape image, as it will be displayed in its entirety in the email: a square or portrait image would take up a lot of space.
